Keep your team’s CPR and BLS certifications current by tracking verified expiration dates, assigning a record owner, and starting training before each employee’s deadline. Use reminders that follow employees through enrollment, skills testing, and submission of their completed provider card.
For American Heart Association (AHA) BLS training, the final record is an AHA BLS Provider Course Completion eCard. SureFire CPR provides self-paced online learning and skills testing at our locations to help you coordinate that training.
The administrative process should make it easy to answer who is current, who needs training, and which required step remains unfinished.
What should you track for every employee?
Start with the requirements your organization assigns to each role. CPR and BLS course names can be confusing, so record the exact course rather than a general label such as “CPR complete.”
Your tracker should include:
- Employee name and department.
- Manager and record owner.
- Required course and issuing organization.
- Current provider card expiration date.
- Internal deadline for completing training.
- Enrollment and skills appointment status.
- Verified completion record and new expiration date.
Use the expiration date shown on the verified card. Avoid estimating it from a calendar invitation, enrollment date, payment receipt, or employee’s memory.
Where should you keep training records?
You have two options for keeping training records.
Option 1: Build your own system. Choose a primary system your organization approves, such as a spreadsheet, learning management system, HR platform, or credential-management system. Assign someone to own the data, define where the final provider cards are stored, and decide how department records reach the central record so expiration dates stay consistent.
Option 2: Use the SureFire CPR platform. With SureFire CPR, you get all of this in our platform, where you can create groups, assign courses, and track each employee’s individual progress from one place.
Who should own expiration tracking?
Assign a primary owner and a backup. The primary owner maintains the tracker, sends reminders, and checks that employees submit the required documentation.
With SureFire CPR’s system, you can have one admin or multiple managers for each department. The primary owner handles payments and administrative tasks, while managers assign courses to their teams and track everything from one place.
Managers should help resolve scheduling conflicts and confirm that employees understand their deadlines. Employees remain responsible for completing their assigned learning and skills requirements.
Write these responsibilities into your process. A short handoff document should explain where records live, how reminders work, and what counts as verified completion.
Include the backup in periodic reviews. That gives your organization continuity when the primary coordinator takes leave, changes roles, or needs support during a larger enrollment.
How early should you begin the process?
Choose an internal lead time that allows employees to complete the required learning, find a suitable appointment, and submit their provider card.
Base that lead time on your team’s work schedules, location access, approval process, and previous enrollment experience. Avoid waiting until the expiration date to discover that an employee has not started.
Work backward from the deadline and identify the required steps. Your process should allow room to address missed appointments or incomplete documentation.
With SureFire CPR’s system, this is a built-in process. Once you upload the needed data, you can quickly see who is due in the next 30 or 90 days.
Do not assume an expired card comes with a grace period or a particular renewal pathway. Confirm the applicable course requirements and follow your organization’s policy.
Does group training fit your needs?
If you have multiple employees to certify, SureFire CPR group training gives you a discount and access to all our course options. You also get one place to track everything, where you can easily buy more courses, reassign seats, or remove someone from your team in a couple of clicks.
How do I check if training is complete?
You can have employees provide you with their AHA eCard, or you can check it in the SureFire CPR system. Just go in and see whether someone has completed their course.
How should you handle new hires, transfers, and departures?
Manually tracking training can sometimes be confusing, especially if your roster is big. With SureFire CPR, you can easily remove people from your roster in a couple of clicks or add new hires and their certification details in minutes. You can also bulk upload information if needed.
How do you arrange training for upcoming expirations?
Request group training from SureFire CPR. Share your team’s required courses, employee locations, and upcoming deadlines. We can help you review AHA training and skills-testing options at our locations.
